- Consultation. One call to understand how your teams actually meet, which platform you have standardized on, and what is already installed.
- Room assessment. Dimensions, seating, sight lines, display wall, power and network drops, and the acoustics you are working with.
- Design proposal. A package per room type with the camera, audio and control layout drawn out, so every room of the same size behaves the same way.
- Installation. Scheduled around your building access rules and delivered through our network of installers and support technicians.
- Orientation. A short walkthrough for the people who will use the room and the people who will be called when something goes sideways.
- Ongoing support. Live phone and remote help from our Video Network Operations Center, around the clock.
The practical result is that a room in San Francisco, a room in Chicago and a room in Indianapolis can be specified once and repeated, which is what makes a multi-site rollout survivable.
Zoom Rooms and Teams Rooms for Bay Area Offices
Most Bay Area organizations have already picked a platform, and the room should not argue with it. If your company lives in Microsoft Teams, the room runs a Microsoft Teams Room. If it lives in Zoom, the room runs a Zoom Room. Either way the room is tied to your calendar system, so the meeting on the wall panel is the meeting in the invitation and joining is one tap.
Why that matters more than a feature list
Nobody is impressed by a conference room that needs a champion. The measure of a good room is that a new hire can walk in, tap the panel and start, and that the person on the other end can hear every seat at the table without anyone leaning in. We choose fewer components on purpose: fewer cables, fewer failure points, fewer help tickets.
Bring your own device, when you need it
Guest presenters and client sessions do not always run on your platform. Rooms can be set up so a laptop takes over the display, camera and microphones for a call on any platform, then hands the room back when the meeting ends.
California Public Meetings: Brown Act and Bagley-Keene
Public agencies are where our government work is concentrated, and California asks more of a meeting room than most states do. Two statutes set the frame. The Brown Act governs local agencies such as city councils, county boards and school districts, and requires meetings to be open, with agendas posted at least 72 hours in advance and remote participants given equal access to the proceedings. The Bagley-Keene Open Meeting Act covers state-level boards, commissions and multi-member agencies, with notice and agendas published at least 10 days ahead and public access to records, votes and deliberations.
There is also a recording right to plan around. Under the California Legislature Transparency Act the public may record open sessions with audio or video equipment and share those recordings, so long as the recording does not disrupt the meeting. An agency can set reasonable rules about where equipment goes. It cannot ban the recording.
What that asks of the room
- Audio that covers the whole dais and the podium, because an inaudible stream is an inaccessible meeting.
- A stream that stays up for the full session, not one that drops when the agenda runs long.
- An archive people can actually use later, which is where recordkeeping obligations quietly live.
- A way to take public comment from remote attendees and put them on the record with everyone else.

Where our public sector work has actually been done
We would rather be straight about this than imply a California client list we do not have. Our published public meeting projects are concentrated in Indiana and the Midwest: council chambers for the City of South Bend, the City of Ligonier and the City of Huntingburg, board meeting streaming for John Glenn Schools, and hearing room systems for the Indiana Professional Licensing Agency. The statutes differ from state to state. The room engineering that satisfies them does not.
The Rooms Bay Area Teams Ask For
Bay Area floor plans skew toward many small spaces and a few rooms that matter a great deal. We package by room size so the same standard scales across a floor.
- Huddle rooms. Two to four people, a single display and an all-in-one bar. The workhorse of an open-plan floor.
- Small conference rooms. Six or so seats, one display, camera and audio tuned so the far end hears the far corner.
- Medium conference rooms. Eight to twelve seats, usually where a second display or a content channel starts to earn its keep.
- Large conference rooms and boardrooms. Wider coverage, multiple microphones, and control that a guest can operate without training.
- Personal systems. Executive offices and home offices that need to look and sound like the boardroom.
- Omnipresence. Presence-like meeting experiences for the rooms where the far end should feel like it is at the table.
